We are looking for a Program Coordinator to help with our HR ERP system implementation project.

This is a full-time, fixed-term position from now until April/May 2023.

What we will need from you: 

  • Great attitude - the role has structure, with many things in projects priorities can change, and you need to be adaptable 
  • Structure - managing both people and budgets. Organising meetings through to managing the accruals of budget/managing costs for Exec presentations etc.
  • Sweep the sheds - doing what you can to keep the team moving in the right directions 
  • Meeting management – you will be required to create meetings that the team have requested.
  • Time management – as the HCM is a systems program of work there will be strict deadlines that would have to be met 
  • Stakeholder management -  you would need to ensure that there is a constant line of connection between the internal TWG team and vendors   
  • Team awareness – there will be times when some members may be at full capacity, it is times like these when you will need to intervene and help distribute the load 
  • Get involved - with lots of moving parts there are plenty of opportunities to raise your hand and take ownership of the different tasks to become an SME (system matters expert) of that area 
  • Program tools – you will have ownership of tools such as Jira, Confluence and Teams 
  • Onboarding – getting new employees/contractors set up with access and tools such as Jira, Confluence and Teams.  

Meeting Etiquette: 

  • Chair – ensuring that the correct person is hosting the session/meeting  
  • Agenda – ensuring that the correct topic is being discussed  
  • Duration – it is costly to have a meeting run longer than what it needed, but impractical to stop halfway through due to lack of time
  • Audience – ensuring that you have the right people in the room to have this discussion 
  • Rabbit holes/derails – ensuring that the meeting is sticking to the agenda provided and not becoming derailed   
  • RAID – capturing every Risk, Action, Issue and Decision 
  • Follow up – relaying information back to the time.

My daily tasks involved basic admin work. Once the admin tasks were completed each morning my day to day responsibility's would change depending on what project I was working on. It focused most on sustainably & improving customer experience.

Pros

  • The workplace environment and the people.

  • Pay was fantastic, as they did not even need to pay us.

  • Great HR recruiters, very helpful and always respond so fast.

  • Excellent, I really believe I have made myself better for future roles, and acquired lots of areas to self-reflect on.

  • The flexible work environment, the willingness to always help and guide.

Cons

    • The varied workload, but this was only an issue in the first few weeks.

    • I did have to move desks often, and it was difficult at times when my mentors sat further away based on the hot desking.

    • For future roles, it will be great with the job experience, but I believe there won't be much development in my role as after the internship is done there isn't room for us to be employees.

    • "I cannot specifically remember questions, but it was a lot of self-reflection to see how I could base myself in this role.

    • One final session on what us as interns did well, and what should our next steps be in our employment in any business.
